We give RIAs, family offices, and institutional allocators modern infrastructure for discovering, accessing, and managing private market investments. Today that means 350+ wealth advisory firms, 1,500+ GP relationships, and over $5 billion in platform assets, and we are scaling fast.

ABOUT THE ROLE

You will own the intelligence layer of Allocate: the AI systems that turn raw private markets documents and data into insight clients trust and act on.

The raw material is some of the messiest data in finance: capital account statements, fund documents, cash flow notices, unstructured PDFs in a thousand formats. Underneath your product sits a data and extraction pipeline, built in close partnership with our Data Operations team, that turns those inputs into a structured, reliable data layer. You own that pipeline as a product, and your mandate is to make it AI-native end to end: extraction, structuring, validation, and quality handled by intelligence, not brute-force human effort.

But the pipeline is the substrate, not the product. The product is what the intelligence does with it: surfacing patterns in investment performance and outcomes that no advisor would find by reading raw numbers, powering our Insights and Diligence products, and answering the question every end investor actually has, which is \"how is my portfolio really doing, and what should I pay attention to?\" You will decide where models create real leverage, design the systems that keep their output accurate enough to put in front of paying clients, and ship intelligence that is measurably right, not just impressive in a demo.

That last part is the hard part, and it is why this role exists. Anyone can wire an LLM to a database. Making AI-generated analysis reliable enough that an RIA will present it to their client requires evals, monitoring, quality gates, and product judgment about when the system is good enough to ship and when it is not. We hold AI features to hard eval gates before they reach clients. You will own those gates.

This is deliberately a wide seat: the pipeline, the client-facing data experience, and the intelligence on top. We keep them together because splitting them produces exactly the disconnected, half-trusted data products this industry is full of. If that scope reads as too much, this is not your role. If it reads as the whole point, keep going.

WHY THIS ROLE MATTERS

In private markets, data is the product. When an advisor opens a client’s portfolio, the completeness of the look-through data, the accuracy of the cash flows, and the quality of the analytics are the product experience. When the end investor asks how their portfolio is really doing, the answer is only as good as the intelligence built on top of the data.

This role decides whether that answer is trustworthy and illuminating or incomplete and flat. Your impact shows up in how much manual extraction work intelligence eliminates, how confidently an RIA puts our numbers and our AI-generated analysis in front of their clients, and how often the system surfaces something about performance or outcomes the user would never have found on their own.

WHAT YOU’LL OWN

The AI intelligence layer. The models, agents, and systems that generate insights about investment performance and outcomes across Insights, Diligence, and other data-driven products. Templated notice generation, rules-based payment matching, invoice intake and expense allocation, self-updating accrual roll forwards, scheduled reconciliations, automatic file routing, and alerting on exceptions instead of manual daily checks.\n\n• Replace manual tracker updates with queries and dashboards pulled from the source systems.\n\nWhat Success Looks Like\n\n• Capital calls, distributions, and wires go out accurately and on deadline, with no client-visible errors.\n\n• Expense reconciliation closes on schedule each period, with documented support that the administrator and auditors accept without a round of follow-up questions.\n\n• Manual hours come out of the core workflows every quarter, measured against the tasks you have automated or eliminated.\n\n• The fund count grows without a matching increase in operational headcount or cycle time.\n\nWho You Are\n\n• 1 to 3 years of experience in fund operations, fund administration, treasury, audit, or a related finance function, with a working understanding of private fund mechanics. Capital calls, distributions, fund expenses, capital accounts, and investor reporting.\n\n• Real reconciliation experience, and precision under deadline pressure. You have owned an expense or cash reconciliation before, you are comfortable explaining a variance to a reviewer, and you know that wire cutoffs and capital call dates do not move.\n\n• Process minded by instinct, and already using AI to take repetitive work off your plate. You write things down, you notice when the same problem shows up twice, and you fix the cause instead of the instance.\n\n• Strong communicator. You coordinate clearly with fund administrators, banks, auditors, and internal teams, and you keep people updated without being asked.\n\n - Growth-oriented and energized by a scaling environment. You want to grow with the firm and take on more ownership as the fund count and team expand.\n\nNice to Have\n\n• Experience working alongside a third-party fund administrator, reviewing and challenging their output rather than producing it yourself.\n\n• Treasury or payment operations background. Working in a bank portal with dual approval workflows, wire cutoffs, and payment controls.\n\n• Time in an early-stage or high-growth environment where the process did not exist yet and you had to build it.\n\nEssential Values & Culture\n\n• Providing our clients with a world-class experience is our number one priority. We obsessively search for ways to improve the experience for our clients and partners. This requires extraordinary response times, proactivity, and ensuring that everything we do — from product strategy to offline communications — reflects a top-tier client experience.\n\n• Challenge convention: Instead of detailing all the reasons why an idea may not work, we constantly question things to determine how a viable idea may be put into motion.\n\n• Commitment to continuous improvement: We find ways to personally scale each day by pushing ourselves up the learning curve.\n\n• Meritocracy, not politics: We place the utmost value on results and rewards through merit, not reward actions driven by political agendas or behavior.\n\n• Civil Discourse is embraced: We believe open, intellectually curious conversations are required to consistently arrive at the best decisions. Respect is paramount in our dealings with one another, but our mission is always to get the right answer collectively, not to be right.\n\n• Embrace technological change: We adopt tools and techniques that make us faster, smarter, and better. We stay open to innovation, especially around AI and automation, and drop outdated methods without hesitation. This includes actively integrating AI-assisted tools into your daily workflow and staying current as the landscape evolves. This is a hands-on, individual-contributor-to-team-of-one role today.\n\n\nWHAT YOU'LL DO\n\n - Own full-cycle recruiting across engineering, product, and design teams — from role scoping and sourcing strategy through offer and close — including senior roles and specialized searches that require significant judgment and market fluency.\n\n - Design and run structured interview processes, including interviewer-specific guides, behavioral question banks, and scorecards mapped to role competencies — reducing bias and improving hiring signal.\n\n - Coach and train hiring managers and interviewers, building internal muscle memory so hiring quality doesn't depend solely on you.\n\n - Manage external recruiting partners and agencies where used, ensuring consistent candidate experience and process discipline across internal and external pipelines.\n\n - Own advanced outbound sourcing, with a demonstrated ability to identify and access hard-to-find, passive, and hard-to-reach candidates for niche or highly competitive roles — going well beyond inbound and standard database search.\n\n - Build and own sourcing strategy, including advanced Boolean/direct sourcing for hard-to-fill or competitive roles, and evaluate and deploy AI-powered tools to increase sourcing and pipeline efficiency.\n\n - Shape Allocate's talent and employer brand, developing the story, positioning, and candidate-facing materials that make Allocate compelling to the people we most want to hire.\n\n - Partner with the internal People team on talent and people operations, including how to build and optimize recruiting workflows, reporting, and process discipline that keep the function running smoothly as volume and complexity grow.\n\n - Champion an inclusive, high-integrity hiring process — from job description language through debrief calibration — as a founding value of how Allocate builds its team.\n\n\nWHAT YOU BRING\n\n - 10+ years in talent acquisition, with direct experience owning recruiting across EPD functions (Engineering, Product, Data/Research, Design)\n\n - A track record designing and deploying structured interviewing practices — not just running them, but building the frameworks (behavioral question banks, scorecards, interviewer training) from scratch.\n\n - A proven, hands-on track record in outbound sourcing for hard-to-reach and hard-to-identify candidates — deep comfort with advanced Boolean search, creative sourcing channels, and market mapping to surface talent that isn't actively looking or easily found through standard tools.\n\n - Experience evaluating and deploying AI-powered sourcing and recruiting tools (and a desire to keep experimenting) to extend what a lean talent function can do\n\n - Experience managing or coordinating external recruiting partners/agencies alongside internal pipelines.\n\n - A track record building talent/employer branding and talent communities — proactive candidate pipelines and employer positioning that generate inbound interest and shorten future searches.\n\n - Experience building consistent, scalable talent operations — the workflows, reporting, and process infrastructure that keep a recruiting function scalable and consistent.\n\n - Comfort operating as a function of one in an early-stage environment — equally able to run a search personally and to design the systems that outlast any single search.\n\n - A demonstrated commitment to inclusive hiring practices and diverse candidate pipelines.\n\n - Experience with ATS selection, implementation, or migration is a strong plus.\n\n\nESSENTIAL VALUES & CULTURE\n\n - Providing our clients with a world-class experience is our number one priority. We obsessively search for ways to improve the experience for our clients and partners. This requires extraordinary response times, proactivity, and ensuring that everything we do — from product strategy to offline communications — reflects a top-tier client experience.\n\n - Challenge convention: Instead of detailing all the reasons why an idea may not work, we constantly question things to determine how a viable idea may be put into motion.\n\n - Commitment to continuous improvement: We find ways to personally scale each day by pushing ourselves up the learning curve.\n\n - Meritocracy, not politics: We place the utmost value on results and rewards through merit, not reward actions driven by political agendas or behavior.\n\n - Civil Discourse is embraced: We believe open, intellectually curious conversations are required to consistently arrive at the best decisions. Respect is paramount in our dealings with one another, but our mission is always to get the right answer collectively, not to be right.\n\n - Embrace technological change: We adopt tools and techniques that make us faster, smarter, and better. We stay open to innovation, especially around AI and automation, and drop outdated methods without hesitation. This includes actively integrating AI-assisted tools into your daily workflow and staying current as the landscape evolves. Complacency kills progress — we value adaptability and curiosity.\n\n\n\n\nADDITIONAL DETAILS\n\n - Hybrid Onsite in either the Palo Alto, CA or New York, NY locations\n\n - Travel may be required for company offsites\n\n - Broadband internet connection required\n\n - Location: All I-9 eligible candidates will be considered\n\n - Salary: $180,000 - 210,000 annually\n\n - Benefits: Medical, dental, and vision; 401(k); and responsible vacation time (PTO)\n\n - Employment: Full-time\n\n\n\nThe base pay offered will be determined based on the candidate's experience, location, skills, training, certifications, education, internal equity, and market data.
